What it does

Hide Old Records keeps day-to-day Odoo views focused on current work. You choose a model, the date field that matters on it, and how many days back people should see. Users in the groups you pick then see only records inside that window, and everything older quietly drops out of their lists.

The window is relative, not fixed. A thirty day setting always means the last thirty days, so there is no cutoff date to revisit and no scheduled action to keep running. It is set once and left alone.

Who it's for

Teams whose working lists have grown long enough to get in the way. A salesperson who only ever works this quarter's orders does not need five years of history in every search, and a support agent does not need tickets closed three years ago competing with today's queue.

It suits companies that want tidier screens, not tighter security. If your goal is to genuinely prevent someone from reaching data, this is the wrong tool and Odoo's own access rights are the right one. The listing says so plainly, and so does the configuration screen itself.

How do I stop users seeing old sales orders in Odoo?

Create a configuration pointing at Sales Order, choose Order Date as the date field, set the number of visible days, and select the user groups it applies to. Orders older than that window drop out of those users' list views. The cutoff is relative to today, so it keeps moving without any maintenance.

Does this hide the data completely, or just tidy the list?

It tidies the list. It is a decluttering and focus tool, not an access-control product. A restricted user can still see the same information through related documents such as invoices and delivery orders, which show the order reference in plain text. If you need to genuinely deny access to data, use Odoo's own access rights and record rules.

Will it stop my salespeople doing their job?

No. Restricted users create, confirm, deliver and invoice exactly as before. The window only affects which older records appear in their views. Their own new records are always inside the window.

Can I exempt certain people?

Yes, by group or by named user. Administrators with Settings access are exempt automatically and cannot be locked out by a misconfiguration.

Does it slow the system down?

No. The window becomes part of the SQL query rather than a filter applied afterwards, so on a large database a restricted user's list is typically faster to load than an unrestricted one.

What happens if I remove the configuration?

Every rule it created is removed with it. The link is a database foreign key, so renaming a rule or deleting its external identifier cannot leave one behind.

Which Odoo versions and editions are supported?

This module is built for Odoo 19 and works on both Community and Enterprise. Earlier versions cannot express a moving date window inside a record rule, so they are not supported.
