Case study: Professional Services
Lead to payment, with no manual project setup
A design and fit-out contractor created every project, task, approval and invoice by hand. We automated the whole path from lead to payment.

The challenge
What was not working.
Everything ran manually. Projects and tasks were created by hand, client updates were sent ad hoc, document approvals went back and forth over email, and invoicing was assembled separately from the work records. There was no single place to see a job from lead through to invoice, and every manual handoff added delay.
What we built
The work, in detail.
An automated pipeline from CRM to project
Won opportunities flow to a sales order and the project is created automatically on confirmation, so nothing is set up by hand.
Tasks generated per stage
Each project starts fully populated, with tasks auto-generated from predefined details for the relevant stage.
Milestone communication on autopilot
Client emails trigger automatically at key project milestones, replacing ad hoc status chasing.
Digital document approvals
Odoo Sign integrated for document approvals, which removed the email approval loop entirely.
Invoicing tied to the work
A custom invoice document designed for client communication, with invoicing and payment tracked end to end against the same records.
The result
What changed.
Zero manual project creation
Every client touchpoint automated
One pipeline from lead to payment, visible in one place
Approvals captured digitally instead of by email

Modules behind this
Productised from real work.
Work from engagements like this one becomes a published module, so the next client installs it instead of paying to build it again.
Questions
About work like this.
Can Odoo create a project automatically from a sales order?
Yes. A service product can generate the project and its tasks on order confirmation, and the task template can be shaped per stage so the project starts ready to work.
Is Odoo Sign worth adding for approvals?
If approvals currently happen over email, yes. Sign keeps the signed document attached to the record, so the approval and the job it belongs to never drift apart.
How much of a services business can be automated this way?
Usually the repetitive spine, meaning project setup, task creation, milestone updates, approvals and invoicing. The judgement work stays with your team, which is the point.
