Overview

School Management.

A complete school administration back office for Odoo. Set up academic years, terms, grade levels, classes and subjects, then admit students, record guardians, build weekly timetables, take class attendance, enter examination marks against a configurable grading scale and print report cards. Fee statements track amounts you record by hand, with no accounting postings. Transport, hostel and library registers are included. Teachers see only the classes they are class teacher of or teach a subject in, enforced by record rules rather than by hidden screens, and every record is scoped to its company.

How it works

Built around what you actually do.

Every screen below is the module running in Odoo, not a mockup.

01

Academic years, terms, grade levels, classes and sections, and subjects

  • Student admission, profiles, photographs, roll numbers and guardian records
  • Teacher and staff records, class teacher assignment and subject allocation
  • Class attendance registers with present, absent, late and excused
  • Submitting a register locks it: the lock lives in write(), so it holds over the API too
  • Examinations with a configurable grading scale, marks entry and calculated percentages
  • Completing an exam locks its marks; reopening is an administrator action

02

Weekly timetables with teacher and period assignment, one entry per class, day and period

  • Fee heads, fee structures and student fee statements with manually recorded paid amounts
  • Transport routes, vehicles and student subscriptions with a captured monthly fare
  • Hostel buildings, rooms and bed allocations, with one active allocation per student
  • Library catalogue with book issues, returns and derived overdue status
  • PDF documents: student ID cards, academic report cards and fee statements
  • Two roles: Teacher or Faculty, and Administrator

03

Teachers reach only their own classes, through class teacher assignment or a subject allocation

  • Fee statements and student medical notes are administrator only
  • Historical records keep the values they were issued with, so a promotion does not rewrite last term
  • Multi-company: every record carries a company and is scoped to it
  • Depends only on base and web, so it installs on Community and Enterprise alike
  • 178 automated tests, including access-control, write-guard and historical-data suites

What it does

School Management turns Odoo into a school back office. You set up the academic frame once, which is the academic year and its terms, the grade levels, the classes and sections, and the subjects. After that the daily work has a home: admit students and record their guardians, assign a class teacher and allocate subjects to teachers, build the weekly timetable, take attendance, enter examination marks, and issue fee statements.

Around that core sit the registers a school actually keeps: transport routes and student subscriptions, hostel buildings, rooms and bed allocations, and a library catalogue with issues and returns. Student ID cards, academic report cards and fee statements print as PDFs.

Fee tracking is deliberately operational. Statements record the amounts you enter by hand and show what is outstanding. No journal entries, taxes or reconciliation are created, and the description says so plainly rather than implying an accounting integration that is not there.

The part that is easy to get wrong in a school system is who can see what, so that is where the work went. There are two roles, Teacher or Faculty and Administrator. A teacher reaches a class either by being its class teacher or by holding a subject allocation in it, and classes outside that are not visible at all rather than merely read only. Fee statements and student medical notes are administrator only. All of this is enforced by record rules and access rights, which means it holds over the API and not just in the interface.

The second thing is historical records that stay true. A fee statement, a report card and a library loan each capture the student's class at the moment they are issued, and do not follow a later change. Promoting a student to the next class therefore leaves last term's documents exactly as they were, still reachable by the teacher who recorded them. A transport subscription captures its monthly fare the same way, so a later price change does not rewrite historical subscriptions.

Lifecycle locks work the same way. Submitting an attendance register locks its lines, and completing an exam locks its marks; reopening either is an administrator action. Those locks live in the model's write method rather than in the view, so hiding a button is not what is holding them.

The module depends only on base and web. There is no accounting dependency and no Enterprise requirement, so it installs on Community and Enterprise alike. It ships with 178 automated tests, including access-control, write-guard and historical-data suites, and demo data that puts two classes under two different teachers so the access boundary can be seen working rather than taken on trust.

Who it's for

Schools, colleges and training institutes that already run Odoo, or want to, and need student administration in the same database as the rest of the business. It suits an administrator who wants teachers to have real, scoped access to their own classes without being able to reach another teacher's students, results or the fee ledger.

It is not a parent or student portal, and it is not an accounting product. If you need families to log in and pay online, this is the record-keeping layer underneath that, not the thing itself.

Questions

About School Management.

Does this post accounting entries for school fees?

No. Fee statements are operational school records and paid amounts are entered by hand. The module creates no journal entries, no taxes and no payment reconciliation. If you need ledger postings, pair it with a separately configured accounting integration.

Can parents or students log in?

Not in this release. There is no parent or student portal. Access is for internal Odoo users placed in one of the two school groups.

What can a teacher see, and what stays private?

A teacher sees the classes they are class teacher of, plus any class they teach a subject in through a subject allocation. Other classes, and their students, attendance registers and results, are not visible at all rather than merely read only. Fee statements and student medical notes are administrator only. This is enforced by record rules and access rights, so it holds over the API and not only in the interface.

What happens to last term's records when a student changes class?

They keep the class they were issued for. A fee statement, a report card and a library loan each capture the student's class at the moment they are created and never follow a later move, so promoting a student does not rewrite their history or move old documents out of their original teacher's reach.

Does it work for several schools on one database?

Yes. Academic years, classes, students, fee records and the transport, hostel and library registers all carry a company, and each user sees only the companies they are allowed to.

Does it need Odoo Enterprise or any paid app?

No. It depends only on the base and web modules, so it installs on Community and Enterprise alike with no other paid app required.

Can I look around before entering my own data?

Yes. Demo data installs with the module: two classes under different teachers, nine students and their guardians, five teachers, a full weekly timetable of five days and six periods, attendance registers, exam results across the grading scale, fee statements at every payment status, and the transport, hostel and library registers. The two classes sit under different teachers on purpose, so you can log in as each and see the access boundary actually working.

What can be printed?

Student ID cards, academic report cards and fee statements, all as PDFs. ID cards and report cards are available to teachers; fee statements are administrator only.
