Odoo Rental: Selling the Same Item Over and Over

Renting breaks the assumption every sales system is built on, which is that stock leaves and does not come back. Odoo Rental adds the missing dimension: an item is not simply available or not, it is available between these dates and not those.

What Odoo Rental actually is

Rental extends the sales flow so a product can go out, come back, and go out again. The order becomes a rental order with a start and an end, and availability becomes a question about a period rather than a quantity.

That single change is the substance of the module. Everything else in a rental business, quoting, delivery, invoicing, follows the normal Odoo flow. But without time-aware availability, a rental business runs on a spreadsheet or a whiteboard, and the failure mode is double-booking the same item, which is the one mistake that costs a customer.

Availability over time

Odoo tracks how many units of a rentable product exist and which periods each is committed to, so a request for three units next Tuesday is checked against what is already out.

This is the feature to test first in any evaluation, with your real overlapping bookings. Get a colleague to try to double-book something. The behaviour when availability is short is what you are buying.

Two practical points. Build turnaround time into your thinking, because an item returning Friday afternoon is rarely ready to go out Friday afternoon; cleaning, testing and charging are real. And decide how you handle the item that comes back late, since it is not just a billing question, it is the next customer's booking.

Pricing by duration

Each rentable product carries a pricing table: a rate per hour, per day, per week, per month, with longer durations normally cheaper per unit of time. Odoo applies the best applicable rule for the requested period.

Get this table right before launch. Rental pricing has more edge cases than product pricing: what a weekend costs, whether a fourth day tips into a weekly rate, how a public holiday counts. Each of those is a decision your staff currently make by judgement, and encoding them means writing them down, which is usually the first time the business discovers its people were not making them consistently.

Pickup and return

The rental order drives two operations: the item goes out, and the item comes back. Both are recorded, and the return is where the module earns its keep.

The return is when you find out whether the item came back on time, complete and undamaged. Recording that properly is what allows late fees, damage charges and, over time, an honest view of which products and which customers cost you more than they appear to.

For serialised equipment, track which specific unit went out. Damage attribution, service history and warranty claims all depend on it, and reconstructing it afterwards from delivery notes is miserable.

Where Odoo Rental will fight you

Deposits need a decided mechanism. There is no rich deposit lifecycle covering held, partially retained and refunded. Choose how you will represent it, usually a product line or a payment on the order, and apply it consistently from the first order.

Damage and cleaning charges are manual. Adding a line to the order works fine; there is no automatic assessment workflow.

Maintenance between rentals is not modelled here. Equipment that needs servicing every so many rentals should be linked to Maintenance, and the two are not joined for you.

Complex rental businesses may outgrow it. Kit or bundle rentals where a package is assembled from components, sub-rental from other suppliers, and delivery routing for heavy equipment are all areas where a specialist rental system goes further.

Availability depends on returns being recorded promptly. An item returned on Monday and processed on Thursday is unavailable for three days it could have been earning. This is an operational habit, not a setting.

How it connects to everything else

A rental order is a sales order, so it invoices through Accounting normally and the customer is the same partner. Pickup and return are Inventory operations, so rentable stock is real stock in real locations. Serialised items carry lot tracking. The website can take rental bookings with availability shown live. Maintenance can hold the service history for the equipment being rented, and Fleet covers it where the rentable item is a vehicle.

Where to start

Write down your pricing rules including the awkward cases before configuring anything, because the table will force decisions your staff have been making by feel. Decide the deposit mechanism up front. Turn on serial tracking for anything valuable enough to argue about. Build turnaround time into availability rather than promising same-day returns to the next customer. Then double-book something deliberately in a test database and confirm the system stops you.

Is Odoo Rental free?

Rental is available in Community in recent versions, covering rentable products, rental orders, availability over a period, duration-based pricing and the pickup and return flow. Confirm against your specific version, since its packaging has moved.

How is availability calculated?

Against time rather than a single stock figure. Odoo knows how many units exist and which periods they are already committed to, so an item can be shown as unavailable next week and free the week after. This is the core thing the module adds.

How does rental pricing work?

Through a pricing table per product with rates by duration: hourly, daily, weekly, monthly. Longer periods normally carry a lower effective rate, and Odoo picks the best applicable rule for the requested duration.

Can it charge for late returns?

Yes. A late fee can be configured per product and applied when the return happens after the agreed end. Whether you enforce it is a commercial decision, but having the charge calculated automatically removes the argument about the amount.

Does it handle deposits?

Security deposits are usually handled as a separate product line or a payment against the order rather than as a dedicated deposit feature. Decide the mechanism up front, because retrofitting deposit handling across live orders is awkward.

Can I rent serialised items and know which unit went out?

With lot and serial tracking enabled on the product, yes, and for high-value equipment you should. Knowing which specific unit a customer had is what makes damage attribution and service history possible.
